Here at Newmarket Gymnastics Club, at the Racing Centre aim to provide effective, fun and safe recreational gymnastics to the local community. We collect essential data in order to inform Our coaches of any relevant information that may affect their session, but also so that We can contact you if needed.

 

This policy details our procedures on the collection, use and disclosure of Your information. An important priority of ours is to protect Your data and privacy, in accordance with UK law.

 

By registering a gymnast you agree to our collection and use of data as stated in this Privacy Policy.

 

Definitions

Certain words will have meanings defined within these definitions, the meaning is the same regardless of singular or plural use.

 

  • Club - (Also “we”, “our” or “us”), This refers to Newmarket Gymnastics Club, for the purposes of GDPR the Club is the data controller

  • Data Controller - For the purposes of GDPR (General Data Protection Regulations), refers to the people who determine the purposes and means of processing personal data.

  • You/Your - This is the individual who provides data to the club as a parent/Guardian/Coach.

In accordance with GDPR this is the data subject.

  • Personal Data - Is any data refering to an identified or identifiable individual. Within GDPR personal data refers to any information about you or who you are responsible for such as (Name, Contact information, Relevant difficulties).

  • Service Provider - Refers to anyone who processes any data on behalf of the company this will be a 3rd party company, where we use their service to help facilitate our own. In GDPR Service providers are referred to as Data Processors.



 

Collecting your personal data

As a part of the registration process we collect identifiable data on the gymnast that has been registered, but also data we can use to contact you. Post registration we may take extra data depending on the context of the gymnast, this extra data is only noted with the guardians consent. This includes any changes to the current data.

 

We Collect:

  • The full name of you and the gymnast you are responsible for

  • Contact information - A phone number and email address

  • The DOB of the gymnast

  • Health concerns/conditions of the gymnast


 

Data Usage

Here at Newmarket Gymnastics Club, we are registered under the Independent Gymnastics Association (IGA) governing body, all members of the club are registered with IGA, this allows the club, gymnasts and coaches to be covered by insurance, they act as a service provider. We also use this data to help create and change groups, any added personal data that is provided is also considered in group selections, while also informing the gymnasts coach so that they can take it into account.

 

We also use your personal data to answer any questions that are relevant, we refuse to disclose any data that belongs to other members.

 

We also need methods of contacting club announcements and club related personal matters.

 

Marketing

We market our club mainly through photographs, these may appear in the newspaper, website, and social media, for all photos they are not attached with other data, such as names and ages. This doesn't apply for those who request to not have photos taken of gymnasts recorded from the registration form. If you request to avoid marketing through specific routes we can comply, your consent can change at any moment's notice.

 

Data Retention

We will retain your data for as long as it is necessary as within the purposes of this privacy policy. Your personal data will also be retained and used to comply with legal obligations, along with helping to dissolve disputes or enforcing legal agreements.

 

Once we have collected your data, it will be stored on a secure club owned cloud network with password protection, with the password only accessible to data controllers. When your data is no longer necessary it will be deleted off the system.

 

Your GDPR Rights

These are your rights under data protection law

  • To be informed about how your data is used - This document aims to achieve this goal.

  • To access any data we possess relating to you - This is called a data subject access request, if you contact us we can provide the data.

  • To have incorrect data rectified - If your data changes, informing us will allow for us to update our records.

  • To have us remove your data - This applies unless there is a legal reason that we need to retain it.

  • To object to data processing for marketing purposes.

 

Changes To This Policy

This policy is under regular review, and will be updated as such.
